AI customer service chatbots for small business: 7 tools by situation
Yevhen Kurapov, co-founder · Updated Oct 13, 2026
For website chat with a small team, Tidio or Crisp. If customers write on WhatsApp, Instagram, Messenger or Telegram and you sell products or bookings, ChatPal, free or from $20 a month. For an email-heavy store team, Gorgias. For a growing support team, Intercom with Fin or Zendesk. For Instagram marketing flows, ManyChat.
We make ChatPal, one of the tools below, and list its limits on the same terms as everyone else's.
Start from where your customers write to you, because that rules out most tools before price does. A salon that hears from clients on Instagram, a store that answers returns by email and a five-person team sharing one queue need three different tools. Once the channel narrows the list, compare what each bill counts; we work through a 300-conversation month for all seven below.
We make ChatPal, so weigh that. We tried to describe each tool the way its own pricing page does, and grouped them by situation rather than ranking them.
What a small business needs from a support chatbot
Reviews written for big companies talk about deflection rates and agent workflows. A shop with two people behind the counter cares about four plainer things.
The channel. A café or salon hears from customers on Instagram and WhatsApp. A B2B service gets email. A store gets both, plus website chat. A tool that covers only one of these leaves the rest on your phone.
Where the answers come from. Prices, stock, opening hours, delivery terms, what a service includes: the AI should take these from your information, and say it doesn't know rather than guess.
The handoff. A complaint or a custom order has to reach a person with the conversation attached, and you want to hear about it on your phone, not find it the next morning.
The bill. Some tools charge per seat, some per AI conversation, some per resolution, some per contact. At small volume these differ a lot, and the gap widens as you grow.
How we chose
We picked tools a small business can sign up for without a sales call, that include an AI agent (or sell one as an add-on) and publish their prices. For each we read the pricing page on October 13, 2026, and noted what is billed, which channels each plan includes and where the AI stops. We make ChatPal and know it from the inside; we did not test the others hands-on.
We left out enterprise-only tools that don't publish prices.

What it costs at 300 conversations a month
To compare like with like, take a small business with 300 customer conversations a month, one person on the team, the AI handling 200 of them on its own, and about three AI replies per conversation. These are assumptions; plug in your own numbers. Prices are monthly billing unless noted.
- ChatPal: 300 conversations at three replies is about 900 replies, so the $50 a month plan (1,500 replies). ChatPal counts replies whether or not the AI resolves the chat, so long conversations cost more.
- Crisp: you need Essentials at $95 for WhatsApp and Instagram; its AI credits cover about 450 automated conversations, so 200 fit.
- Tidio: Starter covers 100 conversations handled by your team; Lyro is priced separately in tiers from 50 to 1,000 AI conversations a month, starting at $39 a month for 50 ($32.50 billed yearly). Use Tidio's calculator for your tier.
- Intercom: one Essential seat at $29 plus 200 Fin outcomes at $0.99 is about $227.
- Zendesk: one Suite Team agent at $69 includes 5 automated resolutions; 195 more at $2.00 pay-as-you-go comes to about $460, or less on a committed yearly plan at $1.50 each.
- Gorgias: Basic with AI Agent is $90 for 300 tickets and 30 automated interactions; the other 170 at $1.00 to $1.50 each (see the Gorgias card above) bring it to about $260 to $345 by our arithmetic, and each also uses a ticket.
- ManyChat: Pro at $39 covers 2,500 active contacts with AI included, but it's built around flows and campaigns rather than support tickets.
Look at what the bill counts before you look at the number. Per-seat and per-resolution pricing rises with your team and with how often the AI succeeds. Per-reply and per-contact pricing rises with long conversations and a big audience.
Which one fits your business
Mostly website chat, a team of one to five
Tidio and Crisp both started as live chat and added AI. Tidio keeps the plan and the AI separate: you pick a plan for the conversations your team handles, then a Lyro tier for the ones the AI handles. Crisp prices the whole workspace and includes AI credits in the plan, which is simpler to budget if you'd rather not track two quotas. Both give your team a familiar inbox. If Instagram and WhatsApp matter, note that Crisp adds them on Essentials, while Tidio lists them on every plan.
Customers write on WhatsApp, Instagram, Messenger or Telegram
This is the situation ChatPal is built for. A boutique, a salon or a clinic often hears from customers in DMs more than on the website, and the questions are about products, prices, stock and free times. ChatPal answers there from your website, documents and Shopify or Horoshop catalog, books through Google Calendar, Calendly or Altegio, and moves a chat to its inbox when a person should reply. The plans count AI replies, not channels; on WhatsApp, Meta also bills replies past 1,000 a month.
An online store where email is most of the support
Gorgias is built around a helpdesk for e-commerce: tickets from email, chat and social in one place, connected to your store's orders, priced by ticket rather than by agent. Its AI Agent resolves requests on its own and is charged per automated interaction on top of the ticket. If returns and order edits by email are your daily work, we'd pick it over a chat-first tool.
A support team that's growing past three or four people
Intercom and Zendesk are full helpdesks built for several people sharing one queue, and both now include an AI agent. Intercom charges for seats plus $0.99 each time Fin settles a conversation; Zendesk charges per agent and includes a number of automated resolutions, with extra ones billed per resolution. In the 300-conversation example above they come to about $227 and $460 a month, against $50 for ChatPal and $95 for Crisp; the difference buys queue management you need once several people are answering.
Sales come from Instagram campaigns
ManyChat is a marketing tool first: comment-to-DM automations, giveaways, broadcasts and lead magnets, billed by active contacts. Its AI arrives on Pro. If your Instagram is a sales channel run on campaigns, it's the specialist; if it's mostly customers asking questions, an AI that answers from your own information may suit you better.
How to test before you commit
- List where customers wrote to you last month, with rough counts: website chat, email, Instagram, WhatsApp, Messenger, Telegram, phone. Rule out any tool that misses your top two.
- Ask each shortlisted tool the ten questions you answered most, including a price, a stock or availability question and something it shouldn't know. Check what it says when it doesn't know.
- Trigger a handoff. Ask for a person and see where the chat lands, who gets notified and how fast you hear about it.
- Check what happens at the limit. ChatPal, for example, alerts the owner by email or Telegram at 80% and 100% of the month's replies, and the assistant stops replying at 100%. Ask every vendor the same question.
Where ChatPal fits, and where it doesn't
ChatPal is for a small business whose customers write on messaging apps and website chat. It answers from your website, documents and your Shopify or Horoshop catalog, books appointments through Google Calendar, Calendly or Altegio, saves contacts as leads and hands chats to your team, with alerts by email or Telegram. Every channel and integration is on every plan, including the free one.
It isn't a helpdesk. There's no email inbox, SMS or voice, and if several agents work a shared ticket queue all day, Zendesk, Intercom or Gorgias are built for that. ChatPal does connect to Zendesk if you already run one: see AI for support teams.
If that sounds like your business, the free plan is enough to run step 2 above on your own questions before you connect a single channel. The pricing page shows what each plan includes.
