AI for real estate agents: where it saves time, what to set up first, and what it costs

AI for real estate agents saves the most time on three jobs: answering typed listing questions at night, saving each enquirer as a lead with budget and area, and booking viewings into your calendar. Offers and pricing advice stay with you. For a solo agent, ChatPal costs $0 to $50 a month, or $20 to $70 with ChatGPT Plus.
AI saves a real estate agent the most time in three places: typed questions about your listings that arrive while you're at a showing or asleep, turning those chats into leads with the budget and area already noted, and booking viewings without a back-and-forth. Listing descriptions are a fourth, but that's a job for a writing tool, not a chat assistant. What AI should not do is anything with money or judgement in it: offers, pricing advice, negotiation.
This guide covers which jobs to hand over, the order to set them up in ChatPal (the tool we make), what to keep for yourself, and what the whole stack costs. ChatPal works in chats and DMs: your website, WhatsApp, Instagram, Messenger and Telegram. It doesn't answer phone calls.
Where the hours go
Most of the messages an agent answers are the same few:
- "Is it still available?" and "what's the HOA fee / square footage / parking?" about a listing you've already published.
- "Can I see it this weekend?" followed by three messages to find a time.
- Questions after hours. Buyers browse listings in the evening, and a reply at 8 am competes with an agent who answered at 10 pm.
- Writing. Listing descriptions, and the follow-up after a viewing.
The first three are where a chat assistant fits. It answers from your listing pages, asks for a contact once, and books from your free times. The fourth is split: a writing tool drafts the description, and the follow-up after a viewing is personal (more on that below).
What it looks like in a chat
An example conversation with a made-up agent, following ChatPal's rules step by step: the listing comes from the agent's own website, viewings go through Google Calendar with one service called "Property viewing", and the agent's instructions say to ask about financing once before booking. It's written for this guide, not recorded.
Visitor: Hi, is the 3-bed on Linden Avenue still for sale?
Assistant: Yes, the listing shows 22 Linden Avenue as active: 3 bedrooms, 2 bathrooms, asking $412,000. Are you buying with a mortgage pre-approval, in cash, or still early on?
Visitor: Pre-approved up to 430k. Can I see it this weekend?
Assistant: Here are the free times on Saturday, October 24. Pick one below, or tell me another day and time.
[Card: Sat, Oct 24 · 10:00 am · 11:00 am · 2:30 pm]
Visitor: 11
Assistant: Saturday at 11:00 am is free. Please send your name and phone number.
Visitor: Dana Price, 555 301 4471
Assistant: Book a property viewing for Dana Price, +1 555 301 4471, on Saturday, October 24 at 11:00 am?
[Card: Yes, book it · Change number]
Visitor: Yes, book it
Assistant: Dana, you're booked: property viewing, Saturday, October 24, 11:00 to 11:30 am.
Four things happened without the agent: the listing question was answered from the page, the buyer's financing came up before the booking, a slot was taken from the agent's real free times, and Dana's number was saved. If the page hadn't mentioned something Dana asked, such as whether the basement floods, the assistant would have said it doesn't have that information rather than guess.
Set it up in this order
1. Put your listings and your rules where it can read them
Start a free ChatPal account, paste your website on the Setup page and click Let's get started. ChatPal reads the site and drafts the assistant's instructions and welcome message.
Then open Knowledge, go to Website & links and add your listings page. Leave Single page only unticked to crawl the listing pages it links to. Add a fact sheet in the Files tab (PDF, Word, text or Markdown) for what your site doesn't say: your areas, your fees for sellers, how viewings work.
A listing page is only as current as its last crawl. When a home goes under contract, open the ⋮ menu next to its link and choose Reindex, or delete the link. Otherwise the assistant keeps calling it available.
Add a few lines to the assistant's Instructions. These are a starting point:
You answer questions about [agent name]'s listings in [city]. Answer only from the listing pages and files. Before booking a viewing, ask once whether they are buying with a mortgage pre-approval, cash, or still early on. Describe properties, never the people who live nearby or who the home would suit. Never comment on what price an offer should be, whether a price is negotiable, or the value of a home; say [agent name] will discuss that personally.
2. Turn every enquiry into a lead
Lead capture is on for every new assistant, collecting name and phone. Go to Configuration, open the Handoff & leads tab and, in the Lead capture card:
- Under Contact details to collect, tick Email too if you follow up by email.
- Under Custom fields, click Add field and add up to 5, for example "Buying or renting", "Budget", "Area" and "Timeline". Give each a hint; the assistant reads it too.
- Click Save.
The assistant asks for a contact once, never in its first reply, and says why. On WhatsApp, Instagram, Messenger and Telegram a buying conversation is saved as a lead even without a phone number, because you can write back in the same thread. The lead capture chatbot guide explains the exact moments it asks.
Then open the Notifications page, click Connect Telegram and press Start. A New lead alert reaches your phone with the person's contact and what they want.
3. Let it book viewings
Two options suit most agents, both included on every ChatPal plan:
- Google Calendar if you work alone or with a couple of colleagues. Open Integrations, choose Google Calendar, click Connect Google Calendar and tick all the permissions. Under Services, add "Property viewing" with a duration and a buffer: a 30-minute viewing with a 30-minute buffer leaves time to drive to the next one. Set your weekly hours on your practitioner card, then turn on Take bookings with this assistant. Anything already in your calendar blocks those hours. The assistant collects name and phone; the address the buyer asked about stays in the conversation in Chats.
- Calendly if you already use it. On a paid Calendly plan the assistant books directly, and a required question on your event type ("Which property?") is asked together with name and email, so the address lands on the booking. On Calendly's free plan it shares your booking link instead.
If your office already keeps its calendar in Altegio, ChatPal books through that too.
Buyers can move or cancel in the same chat. To send a reminder before each viewing, open the Automation tab, click Add reminder under Reminders, pick Before appointment and write a Fixed reminder using {{customerName}} and {{appointmentTime}}. Messenger doesn't send reminders, and on WhatsApp and Instagram, Meta's 24-hour messaging rules can stop a reminder reaching a buyer who last wrote more than a day earlier.
4. Connect your channels
Put the chat on your website, then connect the channels buyers already use. If you answer WhatsApp from the WhatsApp Business app on your phone, you can keep it: when you reply from the phone, the assistant steps back on that chat. Instagram and Messenger work the same way when your team replies from the Instagram app or Meta Business Suite.
5. Test it before buyers do
Type ten real questions from last month's messages into the Playground, including one about a sold home and one asking whether a price is negotiable. Why this answer? shows which page each reply used. Playground replies count toward your monthly messages but stay out of Chats.
What to keep personal
- Offers, negotiation and pricing advice. A buyer asking "would they take 395?" wants your judgement. The instruction above keeps the assistant out of it.
- Valuations. A seller asking what their home is worth gets a call from you, not a number from a chat. Lead capture saves the contact so you can make that call.
- Questions about who lives nearby. Schools, safety and "what kind of people live there" can stray into fair housing trouble. Point buyers to public sources and keep the assistant to the property.
- The follow-up after a viewing. ChatPal's booking reminders go out before a viewing; nothing checks in after it. That call is where you learn whether the buyer is serious, and it's worth making yourself.
- Anything the assistant hands over. To take chats yourself, switch on Hand off to a human when needed in the Handoff to your team card on the same Handoff & leads tab. A buyer who asks for you then lands in your inbox, and your reply reaches them on the channel they used.
Listing descriptions: use a writing tool, then check it
ChatPal answers questions; it doesn't write your listings. A general writing tool such as ChatGPT drafts a description in a minute from your notes: rooms, square footage, upgrades, lot size, what's nearby. Two rules make the draft safe to publish:
- Every fact comes from you. Give it the facts and ask it not to add any. AI drafts like to add "hardwood throughout" or "quiet street" when nobody said so.
- Describe the home, not the buyer. US fair housing law bars any advertisement that indicates a preference based on race, color, religion, sex, disability, familial status or national origin. Phrases like "perfect for a young couple" or "ideal for empty nesters" describe people. Take them out.
Once the listing is on your website, the chat assistant picks it up on the next crawl, so you write it once.
What it costs a solo agent
Prices checked 19 October 2026, in USD:
| Tool | What it does | Price |
|---|---|---|
| ChatPal Free | Chat assistant, lead capture, booking | $0 for 100 replies a month |
| ChatPal Starter | The same, more volume | $20 a month for 500 replies |
| ChatPal Standard | The same, more volume | $50 a month for 1,500 replies |
| Google Calendar booking | Viewings in your own calendar | No extra cost with a Google account |
| Calendly Standard | Viewings, if you prefer Calendly | $10 a month per seat, billed yearly |
| ChatGPT Plus | Listing description drafts | $20 a month |
A worked example, with assumptions to swap for your own: 25 new chats a week, about 110 a month, at 4 assistant replies each is about 440 replies. That fits Starter at $20 with 60 to spare for your own tests. With Google Calendar and ChatGPT Plus, the stack is $40 a month. At 60 chats a week you'd need Standard, and the stack becomes $70.
On WhatsApp, Meta also charges for replies past 1,000 a month per number and bills your Meta account directly. Every ChatPal channel and integration is on every plan, Free included; see pricing.
