How to answer customers from your Notion pages with an AI chatbot
Yevhen Kurapov, co-founder · Updated Oct 13, 2026
Notion AI answers your team inside Notion; Notion doesn't describe it as a customer chat. To answer customers from your Notion pages, connect Notion to a ChatPal assistant: it searches and reads the pages you share, live, on your website, WhatsApp, Instagram or Telegram. It reads as the Notion account you connect, so share only customer-facing pages.
The short answer
If your returns policy, delivery times, price list or product notes already live in Notion, you don't need to copy them into a chatbot. A ChatPal assistant connected to Notion looks the page up during the conversation, so a delivery delay you typed into Notion this morning is in the next answer. There is nothing to export and nothing to re-sync. It answers on your website and in WhatsApp, Instagram, Messenger and Telegram, on every plan including Free.
Know two things before you connect. The assistant can read whatever the Notion account you sign in with can reach, and it does so for every customer who writes. And it only reads, unless you switch on more.
Notion AI or a customer chatbot on Notion?
A search for "Notion AI chatbot" can mean two different things.
| Notion AI | A ChatPal assistant connected to Notion | |
|---|---|---|
| Who asks the questions | You and your colleagues, inside Notion | Your customers, on your website and in messaging apps |
| What it answers from | Workspace pages the person asking can see, plus connected apps | The Notion pages you share with it, plus files, web pages and instructions you add in ChatPal |
| Where it runs | In Notion | Website chat, WhatsApp, Instagram, Messenger, Telegram |
| Plan | Notion Business or Enterprise; Free and Plus get a limited number of complimentary AI responses | Any ChatPal plan, Free included |
Notion AI is Notion's assistant for your team: it answers questions from the pages the person asking is allowed to see. Notion's Custom Agents go further for internal work, running on a schedule or when something changes in Notion or Slack. Neither is described in Notion's help as a chat for your website visitors.
So if you want customers answered from what your team already wrote in Notion, you need a customer-facing chat that reads Notion. That's what the rest of this guide sets up.
Setting it up
You need a ChatPal account with an assistant, and a Notion account that can reach the pages you want it to use.
- In ChatPal, click Integrations in the left menu.
- Click the Notion tile, then Connect.
- Notion opens. Sign in, choose which pages to share with ChatPal, and approve.
- Back in ChatPal, review the tools. The two read-only ones, searching your workspace and reading a page, are already on. Close the dialog.
Your assistant starts using Notion from its next conversation. If you closed the Notion tab before finishing, the tile shows Action needed: open it and click Continue connecting.
Three rules worth knowing:
- One Notion connection per assistant. If you run several assistants, connect Notion to each one that should use it.
- Only Admins change tools. Anyone in your ChatPal workspace can see that Notion is connected; deciding what the assistant may do with it is an Admin's call.
- Notion is added to your other knowledge, not swapped in. The assistant still uses the files, web pages and instructions you set up in Configuration. If the same fact sits in both places, keep it in one, or the two will drift apart.
To stop, open the Notion tile, click Review tools, then Disconnect. The assistant stops using Notion at once, and nothing in your Notion workspace is changed.
Organising pages so answers are right
When a customer asks, the assistant searches your Notion, then reads what it found. A page it can't find, or finds but can't make sense of, produces a vague answer.
- One topic per page, with a plain title. "Returns and refunds" is easy to find for "can I send this back?". A page called "Misc notes 2025" with returns halfway down is not.
- Write the answer, not a reminder. "Returns: 30 days, unused, original packaging; we refund within 5 working days" works. "Returns: see Anna" doesn't.
- Clear headings inside long pages. A shipping page with a heading per country or method is easier to answer from than one long paragraph.
- One version of each fact. If last year's price list is still shared, the assistant may find it. Archive old pages, or keep them out of what you share.
- Customer-ready wording. Anything on a shared page can end up in an answer, including internal comments in the text.
Then test. Open Playground in ChatPal and ask the questions customers send, in their words. Compare each answer with the Notion page it should come from. If an answer is wrong, fix the page, not the chatbot: the next conversation reads the new version. Notion, files or web pages?
A ChatPal assistant can learn from three kinds of source. They differ mainly in how fast an edit shows up in answers.
| Source | Where you add it in ChatPal | When a change reaches the answers | Suits |
|---|---|---|---|
| Notion pages | Integrations, Notion | The next time the assistant reads the page | Content your team edits often: delivery delays, holiday hours, what's back in stock |
| Web pages | Configuration, Links tab, Add Link | When you click Reindex on the link | What is already public on your website |
| Files | Configuration, Files tab, Upload files | When you delete the old file and upload the new one | PDFs, Word or text files that rarely change: a price list, a manual |
A small shop might keep its policies on its website, upload a care guide as a PDF, and run the things that change weekly from one Notion page. Rules about how the assistant should behave, such as "never promise a delivery date", belong in Instructions in Configuration, not in any of the three.
Privacy: what the assistant can read
Your assistant connects to Notion as you, the account you signed in with. It can read whatever that account can, and it uses that access for every visitor who talks to it, not just for you.
If your workspace mixes help pages with internal notes, salary discussions or private projects, protect them before you connect:
- Share only the customer-facing pages when Notion asks which pages to give ChatPal.
- Or connect a separate Notion account that only reaches those pages.
Out of the box the assistant can only search and read. Notion offers around thirty tools in all, and you can switch any of the others on from the review screen. Some create or change things in your Notion workspace; those are marked May change data. Before you switch one on, remember that a tool that can list private pages will do it for any visitor who asks the right question, and a tool that can write will write when asked. Switch on the narrowest set that does the job.
You can change this at any time from the Notion tile: turn tools off, or disconnect. If Notion changes one of its tools, ChatPal flags it for review and stops using it until you look.
Limits
- It reads only what you share. Pages you share later are picked up without any change in ChatPal; pages you don't share are invisible to it.
- One live Notion connection per assistant. Several assistants need several connections.
- Read-only unless you choose otherwise. It can't create or edit Notion pages until an Admin switches on a tool that does.
- It acts as one Notion account for everyone. There is no per-customer view of your Notion: every visitor gets answers from the same pages.
- Replies count toward your plan. Every answer counts as one message, whether it came from Notion or elsewhere: 100 on Free, 500 for $20 and 1,500 for $50 a month (plans, checked 13 October 2026).
Notion is one of several tools and channels you can add to an assistant; the rest are on the integrations page. Before customers see it, run through how to test an AI chatbot.
A quick first test: make one tidy "Returns and delivery" page in Notion, connect it to an assistant on the free plan, and ask the Playground the three questions you answer most. Then change a number on the page and ask again. If the new number comes back, you have a chatbot your team can update without touching ChatPal.
